Job Description

ACTIVITIES

Handling with administrative documents: 

  • Draft, translate, and edit emails and documents as required 

  • Synthesize, process, and manage documents (business trip orders, reports, …) 

  • Update database, reports.  

  • Communicate with Legal department on legal document such as: business license, trademark license certificate and others legal document as required.  

Planification and organization   

  • Coordinate planning (information transmission, appointment scheduling, logistics activities, etc.) 

  • Organizing meetings/events (booking, preparing equipment, logistics activities) 

Replenishment and logistics: 

  • Order stationnaires as request and inventory/control the use of them.  

  • Internal asset management 

  • Support for booking flight tickets for department managers and staffs according to request and make payment for agency 

  • In charge of office administrative tasks and follow up with other support departments of the company such as Human Resources, Accounting, … 

Payment Documents: 

  • Collect, check validity, and compare payment documents with Suppliers and Accounting team  

  • Make a payment (service, purchase, …) for department 

  • Monitor, compare debts with suppliers, ensure that the documents are complete, accurate and grounded following regulations. 

  • Check and compare payment of debts to suppliers with accountants. 

  • Follow up a payment schedule, check and compare payment documents with a departmental accountant if it has problem. 

  • Check and store documents, invoices according to responsible  

Report 

  • Periodic reports as prescribed by management 

  • Other duties as assigned or requested by managers

- Basic knowlege about civil law, economics law, labor law and others related to contracts, tax,.. 

- Internal procedures

Job Requirement

Education: Degree of University   

Experience: At leasr 1 years in Admin 

Attitude: Autonome, Rigorous, Discreet, honest, prudent 

Laguage: Fluently English 

Computer Skills: Microsoft Office (Words, Excel, PowerPoint, Outlook)
